Service Provider Solicitation Policy

Forging business connections is critical to the success of the TMPAA and our members. Our goal is to create an environment that allows members the opportunity to inform others of their specific solution or product. However, with nearly 200 service provider members, many in the Association have expressed concerns about the volume of messages received in advance of our two annual events.


The following policy is in place for all TMPAA events:

Cold Email Solicitation: One cold email solicitation will be permitted in the lead up to a meeting.

Phone Calls: Calls to schedule meetings at TMPAA events must originate from the individual who will be attending the event. Call center marketing to schedule appointments for company officials is prohibited.

Post-Event Emails: Emails after an event should be reserved for continuing communication with prospects you met during the event.

Compliance with CAN-SPAM Act: Emails must comply with the CAN-SPAM Act governing email communication. Requests to be removed from further email solicitation must be honored.

The TMPAA team will monitor compliance and a reporting protocol has been established to help address any abuse of this policy. Repeated violations will be discussed with the Advisory Board and may impact continued membership.

We encourage service providers to use targeted outreach. Spend time with the attendee lists to focus on your most likely business prospects. This approach will benefit you and other members. There are approximately six attendee lists updated every other week prior to each event with a final list published one to two weeks before the meeting.

Additionally, the Association offers the following to further support this membership segment:

Service Provider Biweekly: Highlights the solutions of individual service provider members (sign up here).

Pre-Event Emails: Distribution of two email messages to registered attendees with information about participating service providers like labeled trade show tables, a link to the service provider page on the TMPAA website, and an online meeting request form. The TMPAA team will distribute these meeting requests. Service provider profiles are also displayed in the event mobile app.
