Forging business connections is an important part of the TMPAA community. Our goal is to create an environment where members can effectively share their expertise, develop relationships, and conduct meaningful business—without subjecting attendees to excessive or disruptive solicitation.
As TMPAA membership and event participation continue to grow, attendees have expressed increasing concern regarding the volume and frequency of outreach received surrounding Association events. To preserve the value and professionalism of the TMPAA experience for all participants, the following communication and solicitation policy applies to all TMPAA meetings and events.
Outreach Restriction Period
No direct outreach to registered attendees may be conducted within fourteen (14) days prior to the start of any TMPAA event unless:
- The attendee has an existing business relationship with the sender; or
- The attendee has specifically requested or agreed to communication.
This restriction applies to email, phone calls, text messages, LinkedIn messages, calendar invites, and any other form of direct solicitation or meeting request.
Email Solicitation
- Mass emails to attendees are strictly prohibited.
- Only personalized, one-to-one communications directed to a limited number of relevant prospects are permitted.
- Generic marketing campaigns, bulk outreach, automated email sequences, and repeated follow-up emails are not permitted.
- Post-event communications must be limited to individuals you met during the event or attendees who expressly indicated interest in further discussion.
- Sharing attendee information with third parties or using attendee lists for broad marketing purposes is prohibited.
Phone Calls & Meeting Requests
- Only one direct phone call to any attendee is permitted prior to an event.
- Repeated calls, voicemail messages, calendar invitations, and persistent follow-up attempts are prohibited.
- Calls and outreach must originate from the individual attending the event.
- The use of call centers, outsourced appointment-setting services, automated dialing systems, or third-party marketing firms is prohibited.
Enforcement
TMPAA actively monitors compliance with this policy and maintains a formal reporting process for violations. Failure to comply may result in:
- Removal from event attendee list access;
- Loss of future exhibitor privileges;
- Restriction from future TMPAA event participation; and/or
- Review by the TMPAA Advisory Board, which may impact continued membership.
TMPAA reserves the right to determine whether outreach activities violate the spirit or intent of this policy, even if not specifically outlined above.
Please ensure that all sales, marketing, business development, and meeting-planning personnel associated with your organization are aware of and comply with these requirements.
Recommended Alternatives for Visibility
TMPAA encourages service providers to focus on thoughtful, targeted engagement rather than broad solicitation campaigns. A selective and relationship-driven approach is consistently more effective—and more respectful to fellow members.
TMPAA provides several opportunities for visibility and engagement, including:
- Association-supported marketing opportunities designed to showcase member solutions and thought leadership to the TMPAA community (Service Provider Biweekly, monthly newsletter spotlight, Target Topics podcast)
- TMPAA-distributed pre-event emails to attendees
- Trade show table signage
- Online inquiry form (Meeting Request with a Service Provider) allowing attendees to request information or meeting opportunities from service providers without unsolicited outreach
- Event mobile app profiles and networking features
- Sponsorship and advertising opportunities throughout the year
